ISEP 2025 Guidelines for oral and poster
(printed and pitch) presentations

Oral Presentations

To ensure the smooth delivery of your presentation, please follow these guidelines when preparing your materials:
  • Oral presentations are limited to 10 minutes for the presentation and 5 minutes for discussion. Please do not exceed 11 minutes for your talk to allow sufficient time for discussion and for attendees to transition between parallel sessions.
  • All presentations must be created in Microsoft PowerPoint (.pptx format).
  • Use a 16:9 aspect ratio for your presentation.
  • The presentations will be displayed on a Windows 11 PC with PowerPoint 2016 on a screen in 16:9 landscape format. Portrait-oriented slides are not displayed correctly.
  • Use standard Windows fonts only. Avoid non-standard or language-specific fonts to ensure compatibility.
  • Images: Please do not copy and paste images from other applications. Instead, use the “Insert Image from File” option (formats: JPG or PNG).
  • Videos: We recommend using WMV or MP4 formats. To avoid issues with Video playback, save your presentation as a .pptx file.
  • Apple Keynote users: Export your presentation in .pptx format using the advanced export options. We strongly recommend testing your presentation on a Windows 10 or 11 system beforehand.

File Submission for ISEP 2025:

  • Naming your file: Please name your file using the type of your presentation and your abstract number in the following format: e.g. oral_111
    • Example: If your contribution is an oral presentation and your abstract number is 111, your file should be named: oral_111
    • If the file is for a poster pitch presentation, please name it: poster_111
    • This naming convention will help us organize and access your files efficiently. Thank you for your cooperation!
  • Online Upload: Upload your presentation to our Dropbox by September 14, 2025. After this date, the system will be closed. Maximum file size: 40 MB.

  • On-site Upload: If you are unable to submit your presentation online, please deliver your file at the Info Desk no later than 2 hours before your scheduled presentation time. For morning sessions, files must be submitted the evening before. Please do not send presentations by email.
  • On-site Support: For technical assistance, visit the technician at the Info Desk in the Hotel Neptun to verify your presentation's compatibility or arrange a backup solution if needed.

Poster Presentations

Poster presentations at ISEP 2025 consist of two parts:

  1. A poster-pitch presentation (maximum 2 minutes using 2 PowerPoint slides)
  2. Exhibition of your printed poster during the poster sessions (see program for schedule)

Printed Posters:

  • Posters must be printed in A0 format (1189 × 841 mm), in portrait orientation.
    To facilitate contact at the poster, we recommend that presenting authors include a photo of themselves on the poster (not mandatory).
  • Upon arrival, please provide your session and abstract number to the poster room staff for installation.
  • Posters must be mounted on the poster boards between the morning of September 15, 08:00 h and September 17, 2025, and removed no later than 18:00 h on September 17.
  • Poster area location: [Kurhaus (3 min walk across from the symposium Hotel Neptun – follow the signs)]
  • Posters can be viewed between September 15 to September 17, 2025 (see program for schedule). Presenters are invited to be present during the coffee breaks and designated poster times.
  • Please note that no printing services will be available on-site at ISEP 2025. We kindly ask all participants to print their posters in advance and bring them to the conference. If needed, a private printing service is available in Rostock-Warnemünde for approximately 40 € (plus tax) per poster. If you plan to use this service, we recommend reaching out to the company before your arrival in Rostock to confirm availability.

Poster Pitches:

Each poster must be presented in a short PowerPoint presentation (max. 2 minutes, 2 slides) during the designated pitch sessions.

  • Follow the same guidelines for slide preparation and formatting as for oral presentations.
  • During your pitch, please do not present results. Focus on introducing your hypothesis/study question and, if desired, a brief conclusion. The goal is to create interest! Reserve methods and results for discussion during the poster session.

File Submission:

Poster-pitch presentations (2 slides only) must be uploaded following the same procedure as oral presentations (see above).

Best Poster’ Prize A ‘Best Poster’ Prize will be awarded by the Scientific Committee. Posters will be evaluated based on the following criteria:
  • Quality of Research & Analysis (10 points)
  • Organisation of Thoughts (10 points)
  • Documentation (10 points)
  • Visual Appeal (10 points)
  • Readability (10 points)
  • Poster pitch (10 points)

The prize will be awarded at the end of the program on Wednesday, 17 September at 17.15 h in the Bernsteinsaal (Hotel Neptun)
